Key Result Areas  

Supporting Actions

Tracking of disbursed files for storage

  1. Tracking of disbursed files with the branches/HUB location for storage on weekly basis.
  2. Ensures documents were stored with vendor as per agreement timelines as per SLA.
  3. Surprise audit to be done at vendor premises to ensure proper storage of records on both system and physical records on periodical basis.
  4. MIS to be maintained properly and circulated to all the stakeholder on regular basis

Retrieval of Documents

  1. Monitor the retrieval/refiling of documents PAN India 
  2. Retrieval request to be routed from RMU team to the storage vendor.
  3. Ensures refiling of retrieved documents to be stored back with vendor within agreed timelines.
  4. MIS to be maintained properly and circulated to all the stakeholder on regular basis

Digital Storage

  1. Monitor the disbursed documents scanned at vendor level and uploaded by the branches within the TAT.
  2. Co-ordinate with vendor team that timely scanning and ensures same uploaded in DMS by branches.
  3. Monitor FPC dispatch process done by branches and ensure TAT breach on regular basis. 
  4. MIS to be maintained properly and circulated to all the stakeholder on regular basis

Stakeholder / Vendor Management

  1. Work with Business teams, Risk & Compliance, Legal & IT as well as Collections teams to agree process improvements and identify solutions.
  2. Visits to the respective vendor team be done on a periodical basis by the HUB branch ops and visit report as per format to be shared with respective stakeholders.
  3. Co-ordinate with vendor for timely submission of bills, vetting of the same against agreed cost, due diligence on the data and TL-RMU to confirm the same to Vendor Governance team for payment.
  4. Monthly provision to be shared with Vendor Governance team.
  5. Ensure bills received as per the agreed terms and conditions. 
  6. Send a confirmation to payment team for processing the request on receipt of verification of bills.

File Reconciliation

  1. Reconciliation of files disbursed, and the file received at branches will be done on a periodical basis to ensure all files disbursed received at respective location within TAT.
  2. Reconciliations of files received at branches and files stored at vendor premises will be done on a periodical basis to ensure all docs received at Hub has been stored at vendor place within TAT.
  3. Reconciliation of files scanned at vendor place and files uploaded in DMS will be checked on a periodical basis to ensure all docs scanned has been uploaded in DMS within TAT.
  4. Reconciliation of vendor bills with the storage tracker/retrieval tracker will be done on periodical basis to ensure the bills raised by vendor is correct and as per the agreed terms and conditions of ABFL.
  5. Reconciliation of closed cases like foreclosed loan and matured loan on daily basis and ensure property documents released on time by the branches as per RBI guidelines within 30 days of closure.
  6. MIS to be maintained properly and circulated to all the stakeholder on regular basis

Compliance Management & Reporting 

  1. Drive adherence on all policies and processes related to storage, retrievals, vendor bills, MIS reporting, regulatory reporting, etc. 
  2. Ensure timely submission of data, files for audit to concurrent, internal & statutory auditors.
  3. Maintain data for tracking performance metrics, defect ratio and SLAs and identify trends/ patterns that need to be addressed in order to drive greater efficiencies.
  4. Ensure all compliance points of RMU which is signed off for the board quarterly, are taken care of while processing.

Qualifications:
Graduate

Minimum Experience Level:
3-4 Years
